Our client is seeking a motivated, detail-oriented professional to implement a digital Document Management System. The responsibilities encompass the establishment of document control processes, the management of documents both internally and externally, system administration, and facilitating communication and collaboration across various departments. The ideal candidate should possess the ability to work both independently and as part of a team.
RESPONSIBILITIES: - Develop and implement document control procedures to ensure consistency and compliance
- Create and maintain document templates for standardized formatting
- Receive, register, and log incoming documents into the document control system
- Review documents for accuracy and completeness
- Distribute documents to relevant stakeholders
- Maintain filing system for electronic documents
- Utilize document management software to track document versions
- Monitor and maintain the integrity of the document control system
- Provide training to staff on document control procedures and system usage
- Collaborate with different departments to identify document needs and ensure timely updates
- Respond to document-related inquiries from stakeholders
- Communicate changes in document procedures and updates relevant to personnel
REQUIRED SKILLS: - Attention to Detail: Ability to review documents for accuracy and identify errors
- Organizational Skills: Efficiently manage large volume of documents and maintain structured filing system
- Technical Proficiency: Familiarity with document management software and database systems
